FORMS & APPLICATIONS

Can I download application, lease and other forms?

Yes. Copies of frequently used forms are available at www.HillcoRealty.Com/rr and clicking on “eForms.” You can download and submit these forms mail, email, or fax. Documents are received when they actually arrive (not when sent) so be sure to request a written confirmation of receipt.

MOVING IN

What should I do before moving in?

You should receive a “welcome” letter in the mail with information specific to the property you are moving into.   Contact your rental agent if you do not receive that letter as it contains important information on things you should do before your move as well as details that will help you get settled in. 

How do I reserve the freight elevator?

If your building has a freight elevator be sure to reserve it well in advance. You'll need to specify a 2 hour time window and date. If your movers are late other scheduled moves will have exclusive use of the elevator. Never use the passenger elevator as doing so would be a huge inconvenience for other residents and passenger elevators are not designed for the load. Use of the elevators with boxes or furniture will result in a $500 fee plus costs of repairing anydamages.

How do I get my keys?

Email info@hillcorealty.com or call 847-831-1045 and ask (by name) for the rental agent you worked with. If you don't recall the agents name, ask for the agent of the property your moving into. They will schedule a move-in date and time. If not already done, you'll need to pay your security deposit plus the first months rent before getting the keys.

How do I get my name added to the Directory?

Email info@hillcorealty.com or call 847-831-1045 and let us know the correct name and phone number.

RENT PAYMENTS

Can I pay my rent on-line?

Yes. Rent payments can be made on a scheduled or one time basis from your bank account, debit card or credit card at www.HillcoRealty.Com/rr and clicking on “ePayments.” This service is provided by a third party vendor is subject the their fee schedule and terms of service.

How do I get copies of my keys?

Please save that expense and get the keys copied on your own. Most hardware stores can make copies. We can make them for you at a cost of $50 per key.

When is rent due?

Rent payments need to be received at the Hillco Realty Management offices on or before the 3rd of the month. Payments mail on or before the 1st of the month are almost always received on time.

What if my rent is paid late?

You will receive a five day notice if your rent payment has not been received by the 5th of the month. We understand payments can be lost or forgotten, so once each calendar year late payment fees are waived if the payment eventually arrives by the 10th of the month in which it is due. Subsequent late payments are subject to late fees and other charges as specified in your lease.

What are the late fee's?

Late fee's are specified in your lease. Generallythey are:

$25 plus $5 per day after the 3rd of the month
$25 for returned check PLUS late fee's.
$100 for each 5 day notice PLUS late fee's.

I paid my rent but received a 5 day notice. What should I do?

First, call your bank to see if your check cleared. If it has, request a copy. Then let us know (even if the check cleared!) Email info@hillcorealty.com or call 847-831-1045.

MISCELLANEOUS

Can I have a Pet?

Some properties allow pets with a $200 per animal non-refundable deposit. We love dogs but they are NOT allowed in our properties because of the noise potential.

Can I install a Satellite Dish?

You can use a satellite dish if you complete, submit and comply with all terms of the Satellite Dish Rider which can be found at www.HillcoRealty.Com/rr and click on “eForms.” The rider must be submitted before the satellite is installed. You can download and submit this form by mail, email, or fax. Documents are received when they actually arrive (not when sent) so be sure to request a written confirmation of receipt.

Where should I Park?

This information will be in a welcome letter that should arrive about a week after your lease is approved and signed. Contact your rental agent if you do not receive that letter or if you need help with parking after you’ve moved in

What should I do about Noisy Neighbors?

Before contacting management, please leave a friendly note under the offending resident’s door. Something like: “Your TV volume made it difficult to sleep last night. Could you please turn it down a little earlier?” If the problem persists, contact management.

What should I do with extra large trash items?

Please contact management before placing anything larger than a trash bag in the trash area. For some items (like mattresses and furniture) there may be a small charge if you contact management in advance. If you do NOT contact management in advance, there is a $100 charge plus hauling costs.

Can I get Newspapers delivered to me?

Yes. You should receive a “welcome” letter in the mail with newspaper delivery information specific to the property you are moving into. Contact your rental agent if you do not receive that letter as it contains important information on things you should do before your move as well as details that will help you get settled in.

REPAIRS

How do I get repairs done in my apartment?

Email info@hillcorealty.com or call 847-831-1045 to request maintenance and provide a concise description of the problem. Your request is our authorization to enter your apartment to do the requested service. You will receive an email and a letter to confirming the work has been ordered and again when the work is complete.

When will the repairs I requested get done?

Most service requests are completed 3 to 5 days after the request. We cannot schedule service calls. A passkey is used to enter your apartment. A blue notice will be put on your door knob to let you know when a serviceman was in your apartment and what work was done.

How do I get slow draining toilets, sinks or tubs repaired?

Email info@hillcorealty.com or call 847-831-1045 to request maintenance. There may be a service fee if you've been in the apartment more than 30 days and the problem is from something in the fixture that shouldn't be there. So you might want to avoid the chance of a service charge and try plunging it before calling maintenance.

How do I contact the Property Manager or Superintendent?

Email info@hillcorealty.com and your message will be forwarded as requested. Or call us at 847-831-1045 and your call will be logged and routed as you like.

What do I do if I'm locked out?

Once a year we’ll let you in at no charge if you call us at 847-831-1045 during normal work hours AND we have staff on site. You'll need a photo ID. After business hours we do not have staff on site so you'll need to make other arrangements at your expense.

What should I do before moving out?

Moving Out procedures are available online at www.HillcoRealty.Com/rr by clicking on “eForms” and then select “Move-Out Procedures.” Even if your lease is expiring, we must receive written notice of your move at least 45 days prior to the end of your lease term. You can download the Move-Out Notice included with the Move-Out Procedures or just send us any note describing your plans. Documents are received when they actually arrive (not when sent) so be sure to request a written confirmation of receipt. As soon as your notice is received a letter will be mailed to you confirming your move. That letter will include further details to help with your move.

Do I need to be present at my Move-Out Inspection?

You really should be present at the Move-Out inspection. Not being there can delay the refund of your security deposit and/or result in charges that might easily be avoided if you had been present.

When will I get my Security Deposit refund?

Refunds are mailed on the 15th of the month following the later of your lease expiration or move-out if you are present at the time of the move out inspection. Refunds may be delayed if you are not present at the move-out inspection.

Can I move out before my lease ends?

You have two options if you need to break your lease … Subletting or Early Termination. Subletting is less expensive for you, but you do all the work and bear all the risks.   Early Termination provides a "clean-break" but is more expensive.     More information on these options is available on the Early Move Out page.   After reviewing that information, Email Info@HillcoRealty.Com if you have any further questions and we will do our best to assist.
